Tournaments, masters games and club days

Tournament volunteers for every court, field and gate

A tournament runs on volunteers at every venue: on the gate, at the scoring tables, on the sideline, in the canteen and in the car park, often over several days. PurposeTech gives every court and role its own shifts. Volunteers book themselves in, and each venue lead knows who is coming.

The rosters every tournament has to fill

National championships, regional tournaments, masters games, school sport and club event days share the same jobs. Each has its own hours, and its own shift nobody wants.

Gate and entry

Gate shifts start before the first game and run until the last one. Set each gate up as its own site with its own times, and see which ones are covered before teams arrive.

Scoring tables

Every court needs a scorer and a timekeeper for every game. Group courts into blocks, roster each block as a site, and set how many people each shift needs.

Field marshals and sideline

Marshals keep spectators off the court and teams moving between games. Give them shorter shifts across the day so nobody stands out there for eight hours.

Canteen roster

The canteen roster is the hardest to fill and the first thing people notice when it's short. Give the counter, the grill and the coffee cart their own shifts, and chase the gaps while there's time.

Car park

Early arrivals, changeovers between games and finals day. Roster car park crews for the hours that need them, not the whole day.

Set-up and pack-down

Results runners, set-up crews and the pack-down at the end. Small roles with a fixed number of places, on the same roster as everything else.

Built for many courts over many days

Courts, fields and gates are sites. Days are shift windows. Clubs are a question on the sign-up form.

Every court and gate is a site

Group courts into venues, and venues into the tournament. The Overview shows how full each scoring table, gate and canteen shift is, while there is still time to fill the gaps.

Shift windows for every day

Set a shift pattern once and generate it across every court: an early start on day one, three blocks a day and a short finals day. Change a single shift where a venue runs late.

A club volunteer roster for each team

Ask which club each volunteer is with on the sign-up form. Tag volunteers by club and filter the volunteer list, so you can see who each club has put forward.

Venue leads run their venue from a phone

Give each venue lead the Site Coordinator role. They see who is booked on each shift, add a walk-in, move people between shifts and download the roster as a PDF or CSV with each volunteer's email and mobile.

A sign-up page in your colours

Volunteers pick a venue, then the days and times they can help, without making an account first. The page carries your logo and colours and can run on your own subdomain.

Clubs, parents and young volunteers

Much of a tournament's workforce is parents and teenagers. A volunteer can book an extra spot on their shift and add a friend's or another parent's name.

The sign-up form can set a minimum age on the date-of-birth question, so anyone younger cannot finish signing up. It can also ask the questions your code of conduct needs.

For national sports bodies

A national body running a championship one month and regional events the next can run each event as its own campaign. Duplicate last year's setup, change the dates, and keep one volunteer list across them, so returning volunteers are easy to find.

Sports tournament volunteers FAQ

Can PurposeTech run a multi-day tournament?

Yes. Shift times are yours to set, so a tournament can run three blocks a day over four days, with an early start on day one and a short finals day. Every shift sits on one roster.

How does a club volunteer roster work?

Add a dropdown question to the sign-up form asking which club the volunteer is with. Tag volunteers by club and filter the volunteer list by tag, so you can see who each club has put forward.

Can teenagers volunteer?

Yes. Set a minimum age on the date-of-birth question and the form will not accept anyone younger.

Can we vet volunteers for junior events?

The sign-up form can ask for a police vetting or Working with Children Check number and its date, alongside your existing process.

We run one tournament a year. How does pricing work?

You pay for people confirmed on a shift, not everyone who signs up. Growth is NZD 450 a month or NZD 4,500 a year, so you can pay monthly while you recruit and run the tournament, then cancel from your account settings.

Can paid officials be on the same roster?

Yes. Paid crew and volunteers can share a roster. PurposeTech has no pay rates or timesheets, so officials are paid through your own process.

Got a tournament to roster?
