Volunteer rosters for tours and open days
Every venue on a tour needs its own team, and the venues change by town and by day. PurposeTech lets volunteers pick a venue and a shift, caps each shift, and gives every venue a coordinator and a roster. Tickets stay with your ticketing tool.

The problems every tour has
Garden tours, heritage trails and open studios share the same coordination work. The venues are ready. Staffing each one across the weekend is where it gets hard.
A team at every venue
Each garden, home or studio needs its own crew: a host or supervisor, plus volunteers on the door, the car park and ticket checking. Set up each venue as a site with its own shifts and its own volunteer numbers.
Several towns on different dates
A tour that moves from town to town runs on different weekends in each place. Volunteers register by location, see only the venues and dates for that place, and book from there.
Shifts across the day
Morning, afternoon and full-day shifts can run side by side. A volunteer who takes the full day fills both half-day slots. Each shift carries its own start and finish times.
Volunteers choose venue and time
People want the venue near them, on the day that suits them. Volunteers browse, read what each venue involves and book a shift. They can sign in later to view or change it.
Capacity and waitlists
Set a volunteer number for every shift at every venue. A full shift shows as full and new volunteers can join the waitlist. The roster holds, with no overbooking through the public sign-up page.
A coordinator for each venue
Give each venue lead the Site Coordinator role and assign them to their shifts. They open the roster for their venue on a phone, or work from a PDF or CSV export, with each volunteer's email and mobile number.
Your branding, your briefings
Shifts and capacity sit in one admin view, so you can see which venues are full and which still need people.
Briefings and reminders by email
Volunteers get a confirmation when they book and reminder emails before the day. Each shift type carries its own email note, so a venue's parking and arrival details reach the people booked there. Messages go by email only.
Your own sign-up site
The sign-up site carries your logo and colours and can run on your own subdomain, so volunteers see your tour rather than ours.
Salesforce, if you use it
Contacts, shifts and campaign membership by location sync with Salesforce every few minutes. Teams that do not use Salesforce lose nothing.
Friends placed together
A volunteer can add a friend when they sign up, and the two sit together on the roster. Admins can move any volunteer to another venue or shift.

How the NZ House & Garden Tours run it

Tours and open days FAQ
Does PurposeTech sell tickets?
No. Tickets stay with your ticketing tool. PurposeTech looks after the volunteers who staff the venues: sign-up, shifts, rosters and emails.
Can each venue have its own team and leader?
Yes. Each venue is a site with its own shifts and capacity. Assign a Site Coordinator to each one, and add a host or supervisor shift alongside the door, parking and ticket-check shifts.
Can the tour run in several towns on different dates?
Yes. Volunteers register by location and see the venues and dates for that place. Each location has its own sites and shifts.
What happens when a shift is full?
It shows as full and offers a waitlist. When someone cancels, the next person on the waitlist is promoted automatically.
What do venue coordinators see on the day?
The roster for their venue: each volunteer booked on each shift, with email and mobile number, on a phone or as a PDF or CSV export. They can add walk-ins and move volunteers between shifts. PurposeTech does not record arrivals, so coordinators tick people off on their own list.
Do volunteers get text messages?
No. PurposeTech sends email only: confirmations, reminders and the briefings you write.
Does it connect to Salesforce?
Yes, if you use it. Contacts, shifts and campaign membership sync every few minutes. If you do not use Salesforce, the platform works on its own.
