Recording volunteer feedback, managing the blocklist, and volunteer safety guidelines.

Overview

PurposeTech includes a feedback and safety system for managing volunteer behaviour across campaigns. Admins can record feedback from a volunteer's profile in the admin portal.

Recording feedback

How the blocklist works

When a volunteer is blocklisted:

  1. Their record is flagged in the system
  2. If they try to sign up for any future campaign under any tenant in your organisation, they're blocked at registration
  3. The block is by email address — if they use a different email, they can get through (admins should watch for this)
  4. Blocklist entries include a reason and the admin who added them
  5. Blocklist can be reversed if the situation is resolved

Use the blocklist carefully. It's a powerful tool — once someone is blocklisted, they're blocked across all current and future campaigns. Make sure the reason is documented.

Blocklist audit trail

All blocklist actions are logged:

  • Who added or removed the entry
  • When the action was taken
  • Reason provided at the time
  • Reversal history if the block was later removed

If a blocklisted person contacts your organisation to dispute the decision, refer to the audit log and your organisation's internal policy. PurposeTech does not mediate blocklist decisions — this is your organisation's responsibility.

Volunteer safety

For events where volunteer safety is important (which is most events):

  • Record emergency contact details as a custom registration field
  • Use notes to flag medical conditions, accessibility needs, or other important info
  • Ensure coordinators know how to contact their volunteers — every roster card shows email and phone
  • Export PDF rosters for offline access in case of connectivity issues at the site
  • Record any incidents via the feedback system for organisational learning
